Why job costing usually stops at a spreadsheet

Most job costing tools, free or paid, calculate one job at a time. Enter an estimate, enter the actuals, see the variance, close the tab. That answers “did I make money on this job” — a genuinely different question from “am I systematically under-quoting every roofing job I take.”

The pattern only shows up once you can see many jobs side by side. Most contractors underestimate labor by 20 to 35 percent, according to industry job-costing benchmarks — not because they are bad at estimating, but because nobody tracks it closely enough, job after job, to notice the pattern and correct for it.

This tool is built to be that record. It stays open across every job you log, in the same browser, until you export it — so the tenth job you complete makes the ninth one make more sense.

What the numbers actually mean

Two numbers matter more than the rest: your hours variance, and your effective hourly rate.

Your estimates are landing close to reality. Keep quoting the way you already do.
Consistently above +15%
You are under-quoting hours. Pad your next estimates by roughly this percentage.
Consistently below −15%
Jobs are finishing faster than quoted. You may be able to price tighter and win more work.

Effective hourly rate is your actual price minus actual materials, divided by actual hours — what you really earned per hour worked, once the job is done. Comparing this across job types is usually the more useful number, because it is what tells you which service you should be saying yes to more often.

Your data, your browser, nothing else

Every job you log is stored only in this browser, using local storage — the same private, on-device storage your browser uses for saved form data. Nothing is sent to a server, and we never see it.

That also means it does not follow you to a new device or a cleared browser automatically. Use the Export data button to download a JSON file of everything you have logged, and Import data to load it back in on any device — your job history stays yours, portable, in a file you control.

When to stop tracking this by hand

This tool has a natural ceiling, and that is by design. It tells you whether you are under-quoting and which jobs pay — it does not schedule anyone, send invoices, or take payments.

What is a job profit tracker?

A job profit tracker logs what you quoted for a job — price, hours, materials — alongside what actually happened once the work was done. Unlike a one-off job costing calculator, it keeps every job in one place so you can see patterns across your whole business, not just a single project.

Is this the same as job costing?

It uses the same underlying idea — comparing estimated costs to actual costs — but most job costing calculators are stateless: one job in, one comparison out. This tool keeps a running history so the pattern across many jobs becomes visible, which single-job calculators cannot show.

Do I need to sign up or install anything?

No. There is no account, no email, and no app to install. Everything runs in your browser and saves to that browser’s local storage automatically as you use it.

What happens to my data if I clear my browser or switch devices?

It is deleted, the same as any other browser-only data. Use the Export data button to download a JSON file of your full job history before clearing your browser or switching devices, then use Import data to load it back in wherever you need it.

How many jobs do I need to log before the insights are useful?

A handful of completed jobs of the same type is enough to see a first pattern, and it gets more reliable as you add more. Most solo operators find the per-job-type breakdown becomes genuinely useful somewhere around 10 to 15 completed jobs.

Why does the tool not calculate my overhead or labor burden?

To keep logging fast enough that you actually do it after every job. It works purely off the price, hours and materials you enter, which is enough to reveal quoting accuracy and relative job-type profitability without a lengthy setup.
